Decoding the Vendor Contract
Finding the Right Partners
After proposing to your special somebody, the next step is to begin your wedding planning journey together.
Do you want a quiet, court wedding and head straight to Bali to honeymoon? If so, more power to you. If you’re reading this, odds are you’re more likely to invite hundreds of people to a reception you don’t want them to ever forget. Putting on an event like this requires a locked in bride & groom (that’s the hard part!) and a multitude of vendor partners you can count on to bring your vision to life.
That’s where All-In Productions come in - a family serving families.
As you go on your own vendor selection process, whether you decide AIP or not, you’ll be sent dozens of contracts. We’re here to help with that.
It’s All Greek To Me
Contracts come in all shapes and sizes, some with beautiful, legal language and others clearly written by ChatGPT an hour before you received it. In either case, keep reading to decode some of the clauses you read and some of the key considerations to keep in mind.
1. Timeline for Delivery
Read closely to understand when exactly your vendor is promising to deliver your content by. Understand the difference between ambiguously long ranges (“within 12 months…”) and firm deadlines (like AIP’s 90-day delivery clause).
2. Rounds of Revision
Some vendors allow clients to offer feedback on their initial videos/photos. If that’s important to you, ask your vendor in advance what their policy is. If you work with AIP, rest assured the job isn’t done until you are completely satisfied with your end product.
3. Hidden Service Fees
Vendors may state their upfront cost but also feature a menu of “extra” options at additional pricing. For example, charging hundreds of dollars more to shoot in 4k, when that’s simply the literal click of a button. Working with AIP ensures you will have no hidden fees - your payment ensures the highest quality we have to offer.
4. Deposit
Ask your vendor whether a deposit is required to secure their services and lock down your date. Not having a deposit may seem friendly, until your vendor bails for a higher-paying gig the week before your wedding because they weren’t retained. When you sign with AIP and pay your deposit, your date is locked - and one way or another, it will be captured by AIP (rain, storm or shine)!
5. Insurance
Your vendor may require you to purchase liability insurance for their services (your reception venue may ask for this as well). This is to ensure that if one of their flashstands drops during your event, property damages are covered. AIP always produces liability insurance when requested.
6. Delivery Modality
Ask your vendor how exactly you will receive your final product. While flash drives and physical albums may seem expedient, AIP ensures you never have any data loss by uploading your content onto our private servers and hosting it for one full year - so you can back it up in 5 different ways on your own time.
